  4. Purcellville Music & Arts Festival - Exhibitor Application Information, Deadlines, Terms & Conditions

    Applications, required supporting documents and full online payment must be received by April 1, 2020.

  5. Standard Booth Space (includes one 10’ x 10’ space) Fee: $100.00. ~ Vendors are responsible for bringing their own properly anchored canopy, table and chairs. ~ Tents must be striped or solid color and text emblems must be related to the vendor's business or product. ~ Spaces are available on a first-come basis.

  6. To Apply:

    Complete and submit online application packet including all required supporting documents and full online payment by April 1, 2020.

  7. Online Payment and Acceptance

    Vendor Fee: $100.00 including a $7.72 processing fee (total: $107.72). ~ Upon receiving all required documents and Exhibitor/Entrant's application has been accepted, an online payment link will be emailed to the Exhibitor/Entrant- to complete the final step in the application process.

  8. Assignments & Load-In

    Booth spaces are 10’ x 10’ unless otherwise agreed upon and the exact location will be emailed to you prior to event day. ~ Load-In: Saturday, April 25, 2020 from 8:00 – 11:30 AM – YOU MUST be setup and have your vehicles removed by 11:45 AM. ~ The Town reserves the right to determine the placement of vendors within the festival grounds.

  9. Load-Out

    All out-door booths MUST REMAIN OPEN UNTIL 7:00 PM. ~ All Art Hall and Fun Zone booths MUST REMAIN OPEN UNTIL 5:00 PM. ~ ALL tents, equipment AND vehicles must be removed off festival grounds by 9:00 PM, Saturday, April 25, 2020 UNLESS other arrangements have been approved by the Town of Purcellville/Festival management.

  10. Exhibitor Responsibilities

    A) Exhibitors must bring their own tents, tables, chairs, etc. ~ B) Exhibitors/Entrants must adhere to all local, state and federal laws whether stated or unstated in this application. This includes but is not limited to permits and taxes. ~C) Exhibitors/Entrants are responsible for any taxes required in accordance with Virginia and local laws. Town of Purcellville business license requirements are waived for this event. ~ D) Exhibitors/Entrants are responsible for the proper conduct/demeanor of employees, agents and/or volunteers during the festival. ~ E) All activity must take place within the designated booth space and includes giveaways, contests, sales, etc. ~ F) Exhibitor/Entrant's Booth must remain open during the entire event (12 - 7 PM). Failure to do so may result in exclusion from future events. ~ G) Exhibitors are prohibited from using amplification devices. ~ H) Signage must not extend beyond the booth space on any side. ~

  11. COI/Insurance

    All vendors are required to maintain general liability insurance. Exhibitors who are serving and/or selling food, alcohol or any other product at the Music and Arts Festival must maintain a general liability policy with a minimum coverage of $1,000,000 combined single limits. Coverage is to be on an occurrence basis with an insurer licensed to conduct business in the Commonwealth of Virginia. The insurer must have an A. M. Best rating of A- or better. The insurer must add the Town as an additional insured by endorsement to the general liability policy. A Certificate of Insurance (COI) and the additional endorsement shall be provided to the Town by the exhibitor prior to the event evidencing compliance with these insurance requirements.   12. Cancellations & Refunds

    The Purcellville Music and Arts Festival is an outdoor event. All exhibits and/or displays should be produced subject to weather conditions. There is no rain date and fees are not refundable after April 1, 2020. The Town of Purcellville will fully refund the registration fee if cancellation is received, in writing, on or before April 1, 2020. No refunds will be offered after April 1, 2020 – no exceptions.

  13. Electrical

    Electricity is not provided or available.

  14. Non-Discrimination Policy

    The Town of Purcellville affords equal opportunity to all existing and prospective vendors without regard to race, color, sex, gender identity, sexual orientation, political affiliation, religion, age, marital status, disability or handicap, veteran status, or national origin or other criteria protected by law.

  15. Vendors are permitted to distribute and/or sell their products in compliance with all Virginia laws. All items to be sold must be listed on the exhibitor application and be reviewed by the Town of Purcellville.

  16. Provide your business URL for cross-promotion

  17. Briefly describe the products/services to be exhibited. Include any additional specifics about your exhibit, including contests and give-a-ways, etc. If you DID NOT participate in last year's Music and Arts Festival, please include three (3) photographs of your product and one (1) photograph of your booth/setup. Applications will not be considered without this information.

  19. Please provide one - three photos of your product that can be used for online promotional efforts.


    The Exhibitor/Entrant, by his authorized signature, hereby agrees to indemnify, hold harmless, and defend the Town of Purcellville, Virginia, its elected and appointed officials, employees, agents and successors in interest from all claims, damages, losses and expenses including attorneys’ fees, arising out of or resulting, directly or indirectly, from the Entrant’s participation in the Purcellville Music and Arts Festival, provided that such claim, damage, loss or expense is: (1) attributable to personal injury, bodily injury, sickness, death, or to injury or destruction of property, including the loss of use resulting there from, and (2) not caused by the grossly negligent act or omission, or willful misconduct of the Town of Purcellville, Virginia, its elected and appointed officials, or its employees acting within the scope of their employment. This Hold Harmless and Indemnification Clause shall in no way be limited by any financial responsibility or insurance requirements and shall survive the termination of this Entrant's Application Form. The Entrant understands that any misrepresentation in this application, deviation from the final approved specifications and activities described herein, or failure to abide by all Federal, State and Local laws, ordinances, policies and procedures may result in the immediate revocation of this approved Event Entrant's Permit and refusal to issue a permit in the future. The Exhibitor/Entrant, by his authorized signature below, hereby authorizes the Town and/or its designee(s) to take photographs, videotape, record, or produce communications for this and/or future events for publicity, promotion, and media coverage.
